Product Catalog
The product catalog is your centralized list of all goods and services your business offers. When creating invoices, quotations, or contracts, you select items from the catalog instead of typing details manually each time. This ensures consistency in naming, pricing, and tax treatment across all your documents.
Creating Products and Services
- Navigate to Sales > Products in the sidebar.
- Click Create Product.
- Fill in the product details (see fields below).
- Click Save.
Product Fields

| Product Name (Arabic) | Recommended | The Arabic translation of the product name. Used on Arabic-language documents. |
| Description | No | A detailed description of the product or service. Appears on documents below the product name. |
| Type | Yes | Either Product (physical goods) or Service (intangible services). Affects inventory tracking behavior. |
| Unit | Yes | The unit of measure: piece, hour, kilogram, meter, box, liter, etc. |
| Selling Price | Yes | The default price per unit. Can be overridden on individual documents. |
| Cost Price | No | Your cost to acquire or produce the item. Used for profit margin calculations. |
| SKU | No | Stock Keeping Unit code for internal tracking. See SKU & Barcode. |
| Barcode | No | Product barcode (EAN, UPC, or custom). See SKU & Barcode. |
| Tax Rate | Yes | The default VAT rate for this product. Defaults to 15% (standard Saudi VAT). |
| Status | Yes | Active, Inactive, or Discontinued. Only active products appear in document line item search. |
The selling price set on the product is a default. You can override the price on any individual invoice or quotation without changing the catalog record.
Product vs Service
Choosing the correct type matters for how Shaari handles the item:
- Product -- a physical good. Inventory tracking is available. Stock levels can be monitored, and low stock alerts can be configured.
- Service -- an intangible offering (consulting, design, maintenance, etc.). No inventory tracking. Quantity on documents represents hours, sessions, or other service units.
Product Status
Each product has one of three statuses:
| Status | Behavior |
|---|---|
| Active | The product appears in the line item search when creating documents. It is available for sale. |
| Inactive | The product is hidden from line item search. It still exists in the catalog and appears on past documents. Use this for seasonal products or items temporarily out of stock. |
| Discontinued | The product is permanently retired. Hidden from search. Use this when you no longer offer the product and do not plan to again. |
To change a product's status:
- Open the product record.
- Click Edit.
- Change the Status field.
- Save.
Changing a product's status does not affect existing invoices, quotations, or contracts that already include the product.
Searching and Filtering Products
The product list supports several tools for finding items:
- Search -- type a product name, SKU, or barcode to filter the list instantly.
- Filter by type -- show only products or only services.
- Filter by status -- show active, inactive, or discontinued items.
- Sort -- sort by name, price, SKU, or creation date.
Keep your product catalog clean. Regularly review inactive and discontinued products. Archive items you no longer sell to keep the active catalog focused and easy to navigate.
