Salary Slips
Salary slips are the formal record of an employee's earnings and deductions for a pay period. Shaari generates professional PDF salary slips that can be distributed to employees as proof of payment.
Generating Salary Slips (PDF)
Salary slips are generated from a finalized payroll run:
- Navigate to HR Management > Payroll.
- Open the finalized payroll run for the desired month.
- Click Generate Salary Slips to create slips for all employees in the run, or open an individual employee's payroll item and click Generate Slip for a single slip.
- The PDF is generated and available for download.
Salary slips can only be generated after a payroll run has been finalized. This ensures the figures on the slip are final and will not change.
Salary Slip Contents
Each salary slip includes the following sections:
Header
- Company name and logo
- Pay period (month and year)
- Employee name, ID, and department
- Designation and employment type
Earnings

Salary Receipts
Salary receipts serve as acknowledgment documents confirming that the employee has received their salary. They can be generated alongside salary slips and include:
- Payment amount (net salary)
- Payment date
- Payment method
- Space for employee signature (on printed copies)
Generate both salary slips and receipts together at the end of each payroll cycle. This keeps your documentation complete and audit-ready.
Distribution to Employees
After generating salary slips, you have several options for distribution:
Download
Download individual slips or all slips for a payroll run as a batch. The batch download produces a ZIP file containing one PDF per employee.
Print
Open the PDF and print physical copies for employees who prefer or require paper records.
Salary slips contain sensitive personal and financial information. Handle distribution with care and ensure slips are only accessible to the relevant employee and authorized HR personnel.
Historical Salary Records
Shaari maintains a complete history of salary slips across all payroll runs:
- Navigate to an employee's profile and open the Payroll History section.
- View a list of all payroll periods with the net salary for each.
- Click any period to view or regenerate the salary slip.
Historical records are retained indefinitely and are not affected by subsequent payroll runs. This provides a reliable audit trail and allows employees to retrieve past salary slips at any time.
If you discover an error in a past salary slip, the correction should be made through an adjustment in the current or next payroll run. Past salary slips reflect the finalized figures at the time of processing and should not be altered after the fact.
